Being disorganized costs time, which transforms into lost money. Often the chiropractor is unaware of how much time certain office tasks take. A thorough evaluation of your chiropractic health assistant’s work time is information you need to manage an effective office. For example, how much time does your staff spend looking for travel cards, handing them out and re-filing them? A surprising amount of time is spent revolving those paper travel cards. There are also those lost hours searching for that single elusive travel card that has been misfiled. There is a better way!

By adding our exclusive Atlas virtual travel card system to your health centre, 35 to 40 hours of your staff’s work could be saved. These vital hours could be better utilized by implementing a staff-directed patient education system. More patients for your practice will be generated with this teacinginitiative.

Designating a weekly health subject to teach patients about common conditions that regular chiropractic care can treat is another useful tactic. This strategy can be effectively used with our Generation 2 and 3 systems. You can pre-program health messages for both the front desk sign-in screen and treatment room sign-in monitor (generation 3). When patients check in at the front desk they will see their name followed by a chiropractic health affirmation that readies them for more information. The patient then continues to the treatment room and watches another pre-programmed message that coincides with the first one. When you arrive at the adjustment room you can then further reinforce the information the patient has just received. You can be confident that patients will be learning something new at each visit with this system in place.

These messages can be based on a new patient visit sequence, or categorized by weekly or monthly health topics. Atlas has made your job easier by programming a series of 40 chiropractic health affirmations into our software. Select all of the health affirmations, or some of them, or add your own. Many established options are available to send these messages to your patients. With our installation and on-site training we will help you implement Atlas to fit your practice effortlessly.

This basic system can streamline your patient education program and keep your practice on track. Setting your practice on autopilot with an education plan is a proven method to obtain consistent results. No other software application on the market today will help you organize and implement your patient education system, while providing efficient and proven front desk management at the same time.

The average chiropractic health assistant spends more time with your patient than you do. Imagine the following scenario: your waiting room is full and your staff begins talking about the weekly health topic. The patients start participating and start a dialogue with each other and your staff person. This group discussion leads to a patient testimonial about a chiropractic success. Next, one of your new patients who is present and listening to the discussion, books his/her spouse for an examination because he/she has a similar problem. As you can imagine, this type of office patient/staff interaction creates a multitude of benefits for your patients.

Generating Atlas office moments not only builds referrals but also reinforces patient care and energizes office staff. With these benefits, and time for staff to educate patients, your practice cannot help but grow!

Your Chiropractor’s Centre and Video Email Marketing

Welcome to the technology corner for this month. In a recent issue we addressed the importance of email and specifically video email marketing. In this article we want to expand on that idea and give you tips on how to generate your master email lead list.

We all get monthly or weekly email advertisements from popular retailers marketing product specials ranging from computers to furniture and even airline flights. These are businesses that spend millions in print media and TV advertising. Now these companies have become experts in email advertising. If we simply observe what these businesses are doing and why they are doing it we can design a “chiropractic recipe for success” in email marketing and lead generation.

Simply stated, email is the most affordable form of advertising today. Businesses are now shifting marketing campaign money and expending energy growing their prospecting email lists. Have you ever noticed that some retailers will ask for your postal code and email address whenever you buy something? Especially when you make an online order, an email address is mandatory. Companies are able to generate a huge email database from what we call warm leads. These are clients that are already using their products or services or have enquired about their products. Email lists are bought by some companies but they would be classed as cold leads. Why would you want to buy a list and advertise health products or services to someone that isn’t and may never be health conscious?

There are rules and regulations related to buying an emailing lists. Before you spend your hard earned cash on cold leads, do your homework. As chiropractors, we have so many possibillities to collect warm leads to create an email wave in your community. Only a small group of chiropractors are doing it so be the first in your community to master the internet via email. Let me tell you about some of these gems that so few chiropractors are tapping into.

A good number of chiropractors do outside talks or outreach events in order to build a chiropractic community awareness and promote their practice. You should be gaining important email addresses at all of these events. For example, if you do a screening, the possible new client is interested enough in your service to stop and take part in the screening. Many times we are disappointed that they didn’t accept your offer for a discounted examination. What you do with that name will make all the difference in the world. Most chiropractors at best will send them a letter or a newsletter. If they weren’t interested then what makes you think they’re going to respond to a letter in the next two weeks? In order to keep that lead viable you need to stay in constant contact with them every single month until they do one of two things; sign up or ask you to stop sending them information.

The key is sending them pertinent information that is communicated with cutting edge technology sent right to their home. We live in a world that is spending most of their leisure time watching TV, movies and surfing the internet and email. You need to communicate with them via email if you don’t have a sizable advertising budget. A great video email campaign will not only keep you in front of your warm leads it will help you convert them into new patients.

If you’re interested in a product but not ready to buy it could take months before you decide to make that decision and buy that item. The same concept applies to healthcare especially if they are in tune with crisis care. Potential patients might comprehend the whole concept of wellness as of yet, and until they have a crisis they might not be ready to use your chiropractic services. What happens if you lose contact with that warm lead and they have a health issue and decide to try chiropractic eight month or a year down the road? They might come to see you but your chances increase exponentially if you have been in contact with them over the previous months.

Collecting emails at screenings, corporate talks and outside events is a great way to grow your database of warm leads, but what if your practice style is driven mostly by internal marketing? Let them know you’re beginning a new patient education initiative that involves email and they are going to be receiving top class cutting edge videos on the chiropractic lifestyle that arrive in their inbox. If you communicate the importance of helping you forward these emails to friends and family you create a viral component to your email which is another subject in itself.

Asking your patients for emails is another great way to generate hundreds of emails. Create a huge buzz over a draw you’re going to have. The more email names they provide the more times their name is submitted into the draw to win a fantastic prize. Imagine how many emails you’re going to collect by simply having a draw in your center. You can take it one step further and have your patients email their friends info introducing your new video email initiative. What a way to reach out into your community to spread the word about the chiropractic lifestyle and what an even better way to convert those leads to new patients.

The Chiropractor’s Centre and Viral Marketing

In your tech corner this month we are reviewing a lot of ways to advance practices using ‘viral marketing’ through technology and email. ’Viral marketing’. What exactly does it mean?

Everyone is now familiar with YouTube’s way of uploading, linking and searching for videos. It’s a straightforward concept that started with people broadcasting videos on various subjects for fun or entertainment and it spreads through the internet like a replicating virus does. A medium for organizations to submit videos on the products or services that they offer is ultimately what it has become. To be successful in this type of viral marketing, an international presence or a product that can be purchased or ordered online is needed.

What are some of the benefits of using this sort of technology to improve your practice and advertise chiropractic? Fortunately, videos will do a exceptional job to improve the concept of chiropractic in the general public, provided they are positive videos that explain the concept of chiropractic and boost the chiropractic wellness position. That said, the likelihood of someone local searching chiropractic on YouTube, choosing your particular clinic and then booking an appointment is little to none.

Outside the limitations of a practice, how does one begin using the internet and email for external marketing? There are many programs currently using email technology with auto responders to educate and keep the communication lines open with possible clients. There are however, flaws to these systems; the doctor is responsible for initially creating the content to show potential patients, or they sometimes use out-dated newsletter email techniques. We must remember that we live in a high-tech, video driven world with high expectations.

When was the last time you got a newsletter via email from Coca-Cola or Pepsi? These are companies that spend millions in video-based marketing. Quite simply, when it comes to influencing the public, video is the way to go! What keeps these companies at the top is the amount of time and money that they spend on marketing. Yes, they have the money to spend on costly endorsements and expensive TV advertising. Our associations are not spending millions to advance chiropractic in the public eye (and if they are it’s on a small local sacle), and a single chiropractic clinic has limited marketing fund. We need to seek creative forms to show people using 21st century technology and techniques that work, at a reasonable price point that any chiropractor can afford.

We must embrace newer technologies of patient education, although newsletters and mailings can still be inherently useful. People are used to being entertained and our new generation prefers visually-based forms of education. The concept of newsletters is to inform patients, and their friends and family members, on chiropractic. The hope or payoff is that they might come in and see you when they have a health issue as a result of seeing your monthly newsletter, however the return on investment is EXTREMELY limited.

Let’s go back and explore the idea of video technology and the YouTube concept.

Are you sharing videos on your website? Or better yet, do you even own a website? Any clinic trying to increase its income potential should post high quality videos on its website that fully teaches the method of chiropractic and the wellness lifestyle. Additionally, videos enticing viewers to seek chiropractic care for various health-related issues such as headaches, low back pain and neck pain could also be shared. Chiropractic videos are a very useful way to educate the public at large and bring your website into the 21st century. Services do exist that take this one step further and allow doctors to capture emails on their websites by sending the potential lead a video email with a coupon or offer to come into their practice for a consultation. People are plugged into the internet and when they are looking for services they often do a Google search to find the closest chiropractic office. A powerful and interesting website with amazing video and video email lead generation will have that edge that places your clinic above the rest.

Why re-invent the wheel? Search for a business that has created high quality videos that will stream on your website seamlessly and effortlessly, rather then trying to make your own. Let these videos, with their different messages, act to passively entice potential new patients through your door. In our next issue we will talk about video email automation.

How do I change my software system that has plenty of information?

So many chiropractors find themselves ensnared in software that never seems to progress or advance. When a software company makes that first sale they really don’t have any incentive to continue to develop the product to match your changing needs. That’s a downfall of buying a system verse a lease to own with a support package. Often you’re left to work things out yourself, they’re satisfied to have sold you software. That’s fine if your computer savvy and have all the time in the world but as chiropractors we are trained to correct spinal subluxations not computer and software subluxations. A company that is aimed towards customer service will have a brilliant training program and follow up. You should also be provided with ongoing training very much like a lunch and learn program.

This leads to the next question: How often is your software providing new updates? Maybe you have a software system that has a new release every year and it’s simply to fix problems and add minor enhancements. Those enhancements might even create trouble with the current way you use the system and you may even decide not to update. There are many reasons why a company creates updates:

1. To entice you to pay for upgrades

2. To solve problems

3. To add enhancements

Make sure you search for a software system that includes all your upgrades and has a rigid programming schedule. Put simply, they know where they’re going and how to get there.

The hallmark of good software is one that is constantly growing, adding new products and web services to meet the demands of growing companies. As technology improves, if we want to remain viable in this economy, we need to change and adapt to new technology. Patients are expecting more and if you don’t meet those expectations, someone else down the street will. The software system you are using can make or break the patient’s perception in your office. Do you want to be known as old school or new school?

If your current software is meeting your needs and keeping up with all the available web services and advanced features then fantastic. What happens when they’re not keeping up with new technology and you want to make a change?

Unfortunately so many office settle for second best simply because their afraid to change or disrupt the office. What are your options for making that change and what should you do?

Look for a business that will provide you with a data conversion for your current system. Is that possible and do companies provide that type of service? From experience I can tell you that very few organizations provide a information conversion and if they do it is very limited. If a conversion is available ask them in advance what to expect from the conversion. It will require a larger investment in time on their part and your cooperation if they haven’t previously converted your system. You won’t know how much info is going to be converted until you receive the final result. Since your going into the unknown ask for previous conversion referrals.

Be prepared to hear one of these four common reasons, if they don’t offer a conversion.

1. Your current system is so outdated we can’t possibly retrieve any data.

2. Your current system might be damaged and we don’t want to transfer corrupt records.

3. Your records base is protected and we can’t access the database

4. We simply don’t provide database conversions

If the business you’re looking at states any of the four above reasons what is your alternative? If you decide to go with this company you will be required to manually enter all your current patients’ demographic information, appointments, charges and insurance data into the new software. Can you anticipate) the hundreds of hours of work this will create for you and your staff. You risk the chance of upsetting and losing your staff along with some patients as well.

Or you can search for a software company that is willing to take the time to look at your information and give you some suggestions. A world class team will be able to analyze your database and give you feedback regarding the quantity of data that can be transferred. In many cases they should be able to transfer all your records saving you lots of hours of work and thousands of dollars of data entry.

Don’t forget there are many options. The type of service you receive moving your records and the quality of training you get will certainly show the level of support you can expect in the future.

Dr. Stephane Laverdiere, Doctor of Chiropractic graduated from National College of Chiropractic in 1995 with a Bachelor’s of Science Degree in Biology and a Doctorate of Chiropractic, which marked his surge of desire to assist his fellow chiropractic members. Starting a private chiropractic clinic in the wake of completing university studies was an enjoyable and amusing time for him. he saw his office continue to increase and as is common with all business this new progress encountered new challenges where he found it increasingly difficult to be well-organized.

Over time this challenge lead to a fall in his drive and energy levels.
These impediments in efficiency, time management and office procedures were preventing his chiropractic office from reaching the next level, which he was very assertive that he should have been able to accomplish. He began questioning one of the most prominent questions a Chiropractor should ask: I should know my current chiropractic office software is meeting our chiropractic practice requirements and goals? He consumed the following year studying his chiropractic notes software and systems and answered some acute questions: Do I have a incorporated procedure to advert my team from losing trace of clients families? Does my existing procedure make recalls and collections care free and error free? Is our chiropractic software equipped with the compulsory tools to help my team work ably? Are my practice members being learned about chiropractic every appointment, or are there gaps in my chiropractic office software? Is my time being consumed competently and which tools would help enlarge my time?
